How to generate year-end giving statements

Create tax-ready PDF statements for every donor, preview them, then email or download — usually done in January for the prior calendar year.

Before you begin

  • Giving module enabled
  • Gifts recorded in ChurchRaise for the tax year (online or imported)
  • Organization name, address, and Tax ID (EIN) set in Settings

Before you generate

Year-end statements pull from gift transactions in ChurchRaise. If you are missing last year's history, import it first (see How to import historical giving). Your church name, street address, and EIN must be in Settings → Organization — they print on every statement.

Step-by-step

  1. Check Settings → Organization

    Go to Settings → Organization. Confirm legal church name, full address, and Tax ID (EIN). Fix anything wrong before generating — donors use these for taxes.

  2. Open Giving → Statements

    In the left sidebar, click Giving, then Statements.

  3. Click Generate Statement

    Click the Generate Statement button to open the wizard.

  4. Statement Details (step 1)

    Enter a Statement Name (example: 2025 Year-End Statements). Set the Date Range — for a full calendar year, use January 1 through December 31 of that year.

  5. Options (step 2)

    Confirm Organization Address. Optionally set a Minimum gift amount to skip very small totals. Choose whether to Include all line items and grand totals. Exclude Specific Funds if some funds should not appear on tax statements.

  6. Signature (step 3, optional)

    Upload a signature image and add Signature Name and Title (example: Pastor Jane Smith). Toggle whether signature appears on PDFs and emails.

  7. Preview and Generate (step 4)

    Review the preview. Click Generate Statement. Wait for processing — large churches may take a minute.

  8. Download or email

    When ready, choose View Statements, Download All Statements (PDF zip), or Send via Email. You can also open individual donors and send one statement at a time.

Tips

  • Preview a few donors before emailing everyone — catch typos in org info early.
  • Donors without email can still get PDFs via Download All or individual download.
  • Made a mistake? Delete the statement batch and regenerate with corrected settings.
  • On an empty Statements page, you can ask the Ministry Assistant to start a year-end batch — it opens the same wizard pre-filled.

Watch out

  • Do not email statements until org address and EIN are correct — donors rely on these for tax filing.
  • Excluded funds will not count toward that donor's statement total.

If something goes wrong

Donor missing from statements

They may have no gifts in the date range, or total below your minimum amount. Check Transactions for that person.

Totals look wrong

Verify imported and online gifts landed in the right funds and dates. Re-run after fixing transactions.

Email send skipped some donors

Those contacts need a valid email on file in People.
